Job Description

Overview Performs administrative and support activities for Shared Services. Responsibilities may include; screening calls, managing calendars, meeting preparations, event arrangements and preparing reports. Assist in multiple areas of Shared Services department to include; on site administrative support and coordination of various employment-based visa processes. Point of contact for managers, employees, HR Staff regarding sponsored employees. Participates in developing full cycle of job descriptions, summaries, and the responsibilities of department staff. May assist with the recruitment of candidates to fill vacancies. This includes posting job requisitions, pulling incoming resumes and applications of various formats, prescreening as required, and scheduling interviews.

Responsibilities Provide administrative support to managers, including calendar management, meeting scheduling and support, Travel and Expense support and other support as required.
Ability to effectively manage multiple projects with overlapping tasks and work independently or within a group setting.
Maintains manager and employee confidence by keeping human resources information confidential.
Assist with planning and implementing employee recognition events –birthdays/holiday’s etc.
Welcomes new employees to the department by preparing orientation information packets; scheduling and conducting orientation classes; reviewing company policies; obtaining all pre-hire documents and preparing training classes.
Active upkeep of employee Job Summaries, Descriptions, Personnel Requisitions Forms (PRF) and Personnel Action Forms (PAF).
Maintain and update requisitions in Smart Hires, adding and removing active and inactive position vacancies.
Continual review of immigration procedures and legal status of employees.
Administrative support and co-ordination of various employment-based visa processes.
Communicate with employees regarding all stages of their non-immigrant and immigrant status (including documentation and progression).
Facilitate completion of immigration case submissions by obtaining signatures, missing information, etc.
Follow up to obtain outstanding documentation.
Participates in special projects and performs other duties as required.

Education and Work Experience


• Bachelor’s Degree, preferred
• Ability to work with strict timelines
• Strong written and verbal communications skills
• High level of confidentiality
• Strong computer skills (MS Office)
• Proficiency in MS Suite a plus
• Valid driver’s license required
